Background and Analysis:
In 2021, the General Government Committee expressed an interest in capturing the thoughts and perspectives of community members leaving their volunteer positions on the City’s Council-appointed boards and commissions. At the Committee’s December 8, 2021, meeting, the Committee requested that a discussion of questions for an exit survey be placed on the February 2022 meeting agenda, in anticipation of the survey being used in March 2022 when currently seated members might leave their seats.
On February 9, 2022, Kellie Purce Braseth met with the advisory committee staff liaison group and sought their insight on potential exit questions and off boarding members in general. The Liaisons put forth the following for consideration:
• Asking about members’ satisfaction with their experience serving.
• Asking what wisdom the departing members have for new members joining the committee.
• Asking how the members learned about the committee.
• Asking about the level of engagement they want (from staff, Council, liaisons)
The Liaisons also suggested that a long-serving departing member should receive a person-to-person exit interview with someone from the City.
Creating a positive exit experience for departing members is an opportunity capture historical knowledge and to deepen and continue an important relationship with a community member who has given of their time. Broadly, the City should work to learn the departing members’ motivations for serving; their view of their experience serving; their view of their relationships with fellow members, City staff, and Council while serving; their advice for future members; and their interest in staying actively connected to the City.

Council-appointed advisory committees are one of the most visible and accessible points for community members to engage in the work of the City. Understanding the motivations and experience of departing board and commission members will help improve the experience of community members who continue to serve and seek to serve in the future. It also will improve the functioning of the groups to which community members give their time.
